Who we are looking for?

Our company is searching for a motivated and experienced Secretary for the office of Chief Executive Officer at HQ.

To qualify for the role, the ideal candidate will have proven secretarial experience preferably in Senior Management Office, with excellent knowledge of the latest industry trends and techniques. In addition to being an excellent bilingual communicator (written and verbal), you will also demonstrate attention to details abilities.

Duties and Responsibilities:

We need an active and energetic employee to fulfil the following:

Answer and redirect phone calls, taking messages and handling correspondence

Maintaining diaries and arranging appointments

Filing all incoming and outgoing documents, in a properly marked and labeled files, such as correspondences, communications, contracts, meeting minutes and Memo’s.

Organizing and servicing meetings (producing agendas, invite participants and taking minutes)

Implementing proper procedures and office administrative systems. Raising PRF/ PV and processing bills or expenses.

Acting as a receptionist and/or meeting and greeting visitors. Answer phone calls them when necessary

Manage the daily/weekly/monthly agenda and arrange new meetings and appointments

Prepare and disseminate correspondence, memos and forms

File and update contact information of employees, customers, suppliers and external partners

Support and facilitate the completion of regular reports Develop and maintain neat and organized filing system

Check frequently the levels of office supplies and place appropriate orders Prepare and organize travel arrangements

Draft memos, notifications and other communications as requested by the supervisor

Requirements (Person Specifications):

Bachelor’s Degrees of Business Administration.

5 years of proven practical experience in secretarial for a Senior Executive’s Office.

Diploma in Secretarial Duties and/or Office Administration. Fluency in Both Somali and English Languages.

Arabic Language will be an added advantage. Good communication and interpersonal skills.
